PRIMARY PURPOSE:
Assist the High School Curriculum Coordinator and in any way to allow the instruction office to function as smoothly as possible.
QUALIFICATIONS:
Exceptional organizational skills and ability to multi-task; professional business image;
Communication skills (both oral and written); proficient in accounting skills; Microsoft work, excel and outlook experience.
Education:
High School graduate or certificate of high school equivalency preferred, or such alternatives as may be acceptable to the district.
Experience/Licenses:
Secretarial experience, preferably in public education environment preferred. Eligible for Notary Public.
MAJOR RESPONSIBILITIES AND DUTIES:
- Maintain confidentiality of department and campus operations.
- Answer telephone, arrange appointment schedule, serve as receptionist, and type correspondence.
- Type, proofread, duplicate, assemble and distribute curriculum guides.
- Help to create, type, and bind various booklets.
- Help with STAAR/EOC and field testing materials to return for grading.
- Maintain Kyocera copiers and supplies. Trouble-shoot copier errors to assist teachers.
- Manage order print cartridges for high school campus.
- Schedule use of high school campus computer labs.
- Maintain staff development records.
- Maintain ScanTron machines and supplies; help teachers when they have a problem with machines.
- Maintain records of books, equipment, and materials checked out from Instruction office.
- Maintain records and correspond with institutions of higher learning.
- Duplicate classroom sets of materials for teachers.
- Type and have various forms available for teachers’ use: progress reports, videotaping request, request for guest speaker, etc.
- Organize and maintain a filing system.
- Help sort and distribute mail, pamphlets, and catalogs to appropriate departments.
- Types purchase orders and professional leave request for teachers.
- Maintain confidentiality.
- Other duties as may be assigned by the principal/high school curriculum coordinator.
NECESSARY SKILLS:
- Ability to read and interpret documents.
- Maintain physical and computerized files.
- Knowledge of computer and interpersonal skills.
- Ability to learn and utilize new software programs as systems are upgraded.
- Ability to write routine reports and correspondence.
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to perform duties with awareness of all district requirements and Board of Education policies.
